Hirer Terms and Conditions


Overview

The following Terms and Conditions apply to any parties or individuals booking Stoker Studio. Please read prior to confirming your booking and note that submission of your Booking Form is taken as acceptance of the Terms and Conditions of hire on the nominated date/s.

Stoker Studio is located at 25 Diane Street, Mornington 3931.

Facilities 

  • The main indoor space is 17m x 11m

  • The outdoor space is 27m x 16m, plus access 

  • Broadband internet

  • Plenty of power throughout the interior

  • Use of kitchen, bar fridge, oven and hot plate

  • Non-gendered toilets

  • Onsite parking for 6  

  • 2x 2400mmx1200mm workbenches available for use on request 

  • 30x small stools available for use on request 

  • Festoon lights available for hire 

It is the responsibility of the hirer to set up the venue as required. Note that existing furniture and plants are considered to be fixed and not to be moved without prior approval.  


Hire & booking Fees 

  • A 50% deposit is payable once a booking is confirmed with the balance payable 30 days prior to the event date.

  • Bonds may be required depending on the type of booking requested.

  • Any extra fees incurred will be invoiced to the hirer upon completion of booking. Additional fees include: 

    • Requesting additional equipment

    • Days of hire which were not requested initially, inc. extra bump in/out time

    • Space requires further cleaning to bring back to pre-hire condition

  • No bump in will be allowed to commence until full payment is received. 


Cancellation of Bookings  

Any booking may be cancelled at the discretion of Stoker Studio if the hire fees have not been received 30 days prior to the commencement of the hire period.  

In the event of cancellation of a booking by the hirer less than 14 days prior to the commencement of the hire period, 50% of the hire fees will be retained by Stoker Studio. 

Stoker Studio shall not be held liable for any interference or disruption to a booking that is caused by civil disturbance, industrial action, severe weather conditions, or any circumstances that are beyond our control.


Insurance

All hirers must have Public Liability Insurance coverage for a minimum value of $10,000,000, current at the time of hire of Stoker Studio. A copy of the Certificate of Currency must be supplied to Stoker Studio by email at least 7 days prior to the commencement of the hire period.


Site Decor 

We want every event at Stoker Studio to be a memorable experience. Every effort will be made to allow the hirer to prepare indoor and outdoor decor reflecting their creative requirements. We ask that only you let us know your plans. No nails, screws, staples or penetrating items should be used on our beams, walls, floors, furniture or fixings. Please only use Blue Tak for posters or signs. No tape. In an extreme case of any wall damage, a fee will be charged. Absolutely no confetti or glitter to be used at any event.


Damage to Persons / Building / Equipment

Stoker Studio shall not accept any responsibility for loss of or damage to any property, brought into the Stoker Studio premises by the hirer or its workers / contractors.  

The hirer shall at all times indemnify Stoker Studio, the owners and operators, from and against any loss of or damage to Stoker Studio, any property owned or possessed by Stoker Studio and any person on the Stoker Studio premises, from whatsoever cause.

Repatriation for damage to Stoker Studio caused by any negligence whatsoever will be the responsibility of the hirer. A charge may be payable for this and any bond monies paid may also be retained.  

Under no circumstances may hirer fix items to beams, walls, floor, furniture or fixings without the prior permission of Stoker Studio.

Liquor Licenses  

It is the sole responsibility of the hirer to obtain a Liquor Licence if they wish to sell alcohol. Forms can be obtained from: https://www.vcglr.vic.gov.au/liquor/major-or-temporary-event/apply-new-licence/apply-temporary-limited-licence 

A copy of the liquor licence must be provided to Stoker Studio for our records. The liquor licence must be displayed in the area in which the alcohol is being sold. 

Cleaning

Stoker Studio will be in a clean condition prior to your event.

All equipment must be bumped out at the conclusion of this hire, unless by prior arrangement. 


Access

Bump in and bump out times are included in the package. We do out best to accommodate extra time if required but this may incur an addition cost if staff are required to be onsite for suppliers.

Guests must vacate Stoker by 11.30pm with doors closed at 12am. Any event running over time will be charged an additional $100/hour penalty.


Marketing / Comms

It is important to us that you have a fantastic and successful event. Should Stoker Studio be engaged in the promotion or co-production of your event, it is imperative that we see and approve all marketing messages and communications 30 days prior to the event. We are happy to provide professional created images and logos of Stoker Studio for promotional needs. We also reserve the right to take pictures of your event and use them for our marketing and promotional purpose

Other

We will hold your preferred date for 48 hours only. After this time it is made available for other enquries.

The maximum venue capacity is 150.

Beers and premixed drinks in cans only. Wine, sparkling and spirit bottles are OK.

If required, we can provide bar/hospitality staff during event hours. This is charged at $65p/h.

Event Management (if requested) – Based on an hourly rate and charged from $80/hour and required to start 30 minutes prior to function and finish 30 minutes post function.
